Bid Coordinator

Job Summary

Administers and coordinates the activities in support of obtaining subcontractor bid coverage throughout the estimating process and for awarded client projects. Reports directly to Lead Bid Coordinator /and works in conjunction with the Estimating and Project teams. 60% of the job is phone solicitation and follow-up to ensure subcontractor coverage.

Essential Duties and Responsibilities

  1. Utilize web-based bid invitation/management system(s) to conduct subcontractor search for projects assigned by the department manager. Primary systems utilized:


  1. Utilize various resources for the solicitation of qualified subcontractors, including but not limited to Menemsha field resources, the ONETEAM system, project management, online sourcing (Google, etc.), Union lists, landlord referrals, Bluebook contacts, Supply houses, OPM-Vendor Database, etc…

3. Solicit subcontractors via phone & email. Heavy phone contact required & rigorous email follow up to gain Subcontractor interest and receipt of bids before client deadline. All progress to be logged in excel files and uploaded to the OPM daily.

4. Phone follow-up for subcontractors interested in bidding and main support for post-award bid efforts.

5. Respond to subcontractors calls regarding the project or additional information needed. Secure the correct response from Estimating, Project Manager as required and respond timely to the subcontractor(s) questions. Time is of the essence to ensure the subcontractor retains interest in bidding the project

  1. Timely management of subcontractor bid responses. All bids received are posted within 24 hours of receipt by Bid Coordinator.

7. New Project set up on OPM system. Creating a project profile for an individual client project that will be used throughout the bidding process. Prepare the supporting project documentation used for bid solicitation & update any documentation released throughout the bidding process.

8. Contacting Landlord Contact/Mall for Construction Rules and Regulations & solicitation of Mall Required Subcontractors.

  1. Assist with special projects as assigned.

Education & Experience

High School diploma required. College Degree preferred.

Telesales Experience, A Plus

Basic Construction knowledge, A Plus

Ability to read construction documents/blueprints, A Plus.

Physical Demands

Must be able to lift and carry plans, drawings and blueprints weighing up to 40 lbs.

Some bending, stooping, grasping and prolonged sitting
